This privacy policy describes how Ultimate Hacking Keyboard (“UHK”, “we”, “us”) handles information when you use the uFactory Gmail Sidekick Chrome extension (“the Extension”).
The Extension is an internal tool for UHK team members. It adds team collaboration features (comments, assignees, thread status) inside Gmail. It is not intended for the general public.
Who this applies to
This policy applies to UHK employees and contractors who install and use the Extension.
What we collect
Information you provide
- Team comments you write on email threads through the Extension
- Thread metadata you set (assignee, status)
Information collected automatically
- Your internal login — to identify you when you use the Extension (via your existing uFactory session)
- Your Gmail address — read from Gmail only for display inside the Extension UI
- Gmail thread and message identifiers — internal Gmail IDs and RFC Message-ID headers used to link a Gmail thread to team metadata on our server
- UI preferences — stored locally in your browser (e.g. sidebar open/closed, panel width)
Information we do not collect
- Email body text, subject lines, attachments, or recipients
- Your Gmail password or Google account credentials
- Browsing history outside Gmail
- Keystrokes, mouse movements, or other activity monitoring
The Extension does not read, store, or transmit the content of your emails. It only uses thread and message identifiers to look up team metadata that UHK stores separately.
How we use your information
We use the information above solely to:
- Show team comments, assignees, and activity for the Gmail thread you have open
- Authenticate you against your existing uFactory account
- Remember your Extension UI preferences on your device
We do not use this data for advertising, profiling, or any purpose unrelated to internal team collaboration.
Where data is stored
- Team comments and thread metadata are stored on UHK’s internal server
- UI preferences are stored locally in your browser via Chrome’s storage API and are not synced to external services
Data is accessible only to authenticated UHK team members with uFactory access.
Data sharing
We do not sell, rent, or trade your data. We do not share it with third parties except:
- Infrastructure providers that host our servers (as processors, under our control)
- When required by law
We do not share Extension data with Google beyond what is necessary for the Extension to run inside Gmail (standard Chrome extension behavior).
Authentication
The Extension uses your existing uFactory session cookie. It does not collect or store passwords. You must already be signed in to uFactory in the same browser.
Data retention
Team comments and thread metadata are retained as long as needed for internal operations. If you want a comment removed, contact us (see below).
Locally stored UI preferences remain on your device until you uninstall the Extension or clear extension data in Chrome.
Your choices
- Uninstall the Extension at any time via
chrome://extensions - Clear local data by removing the Extension or clearing its storage in Chrome settings
- Request deletion of team comments or thread metadata stored on our server by contacting us
Children
The Extension is for internal business use by adults. It is not directed at children under 13.
Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the Extension after changes means you accept the updated policy.
